BestCarRentalDeal operates solely as an online booking platform and intermediary. The actual car rental agreement is entered into directly between you and the independent third-party car rental Provider (for example, Savalan Rent Car or a similar Provider).

These terms reflect common Provider rental conditions and are provided for guidance only. You must always read, understand, and accept the full rental agreement and policies presented by the Provider at the rental counter. BestCarRentalDeal is not responsible for Provider rules, fees, operational decisions, or disputes.

1. Territorial Limitations

Crossing national borders with the rental vehicle is not permitted without prior written authorization from the Provider.

If cross-border travel is approved, an additional cross-border fee applies. The amount depends on the rental duration and the countries involved. Unauthorized cross-border travel may void insurance coverage and result in penalties, additional charges, or vehicle recovery costs.

2. Payment Methods

Accepted payment methods are determined by the Provider and typically include major physical credit cards. Debit cards may be accepted for rental payment by some Providers, but are generally not accepted for security deposits.

Only physical cards are accepted at the counter. Prepaid, virtual, rechargeable, or app-based cards are not accepted.

The payment card must be in the main driver’s name and valid for at least six (6) months from the rental start date. Your bank may apply foreign exchange or international transaction fees.

3. Rental Extensions

Rental extensions must be requested at least 24 hours before the original return time. All extensions are subject to vehicle availability and Provider approval. Extended rental days may be charged at a different rate depending on seasonality, demand, vehicle category, or timing.

Failure to obtain approval for an extension may result in late return charges or breach of the rental agreement.

4. Cancellation Policy

Cancellation refunds are calculated based on the time remaining before the scheduled pick-up time:

  • 14 days or more before pick-up: 100% refund
  • 7 to 13 days before pick-up: 50% refund
  • 2 to 6 days before pick-up: 25% refund
  • Less than 48 hours before pick-up: No refund

Bookings with a total rental duration of three (3) days or fewer are non-refundable, regardless of notice period.

No-shows (failure to collect the vehicle at the scheduled time without proper notification) are charged in full and are non-refundable.

If the Provider applies stricter cancellation rules, those rules take precedence and will be disclosed in your booking confirmation or rental agreement.

5. Amendments to Bookings

Changes to booking details (dates, times, vehicle category, pick-up location) are subject to Provider approval and availability.

Approved amendments may result in a revised rental price. Reductions in rental duration do not guarantee partial refunds.

6. Reservation Guarantee

Your reservation is typically held for up to 90 minutes after the scheduled pick-up time. Delays must be communicated to the Provider at least two (2) hours in advance. Failure to notify may result in vehicle release with no refund.

Late arrival or failure to collect the vehicle within the holding period is treated as a no-show.

7. Return Time Tolerance

Direct Provider bookings may include a short grace period (commonly up to 59 minutes). Bookings made via BestCarRentalDeal generally do not include a grace period.

Late returns are charged as an additional full rental day and may include extra administrative fees if the delay affects the next customer.

After-hours returns (outside standard operating hours, typically 08:30–19:00) are not permitted unless explicitly approved. Vehicles must be returned the next business day at opening, with additional charges applied.

8. Mileage / Extra Kilometers

Most rentals include unlimited mileage unless stated otherwise in your booking confirmation.

If limited mileage applies, additional kilometers are charged at approximately $0.59 per kilometer (or the local equivalent).

9. Insurance Coverage – Third-Party Liability

All rental vehicles include mandatory third-party liability insurance as required by local law. In the event of an accident, you must:

  • Complete an amicable accident report (CID or equivalent) with the other party, and
  • Deliver the completed report to the Provider within 24 hours.

Failure to follow accident reporting procedures may invalidate coverage.

10. Damages and Collisions

All vehicles are subject to a damage excess (deductible), confirmed at pick-up. Optional additional insurance (such as “Gold Insurance”) may be available at the counter to reduce the excess. Zero-excess coverage may not be available.

Damage processing may include:

  • Repair costs up to the excess amount
  • A damage administration fee (typically around $178)
  • Immobilization or downtime charges for the period the vehicle is unavailable

11. Security Deposit

A refundable security deposit is held on the main driver’s credit card at pick-up, typically $237 or more, depending on the vehicle and Provider.

The deposit is released after vehicle inspection, usually within 21 business days, minus a small processing fee (approximately $1.17). Damage, unpaid charges, fines, or violations may result in partial or full withholding of the deposit.

12. Traffic Violations and Tolls

You are fully responsible for all traffic violations, tolls, congestion charges, and parking fines. The Provider may apply an administration fee of approximately $43 per incident. Unpaid fines may be charged directly to your card after the rental ends.

13. Fuel Policy

Vehicles are supplied with a full tank or a recorded fuel level and must be returned at the same level.

If returned with less fuel:

  • Missing fuel is charged at approximately $2.37 per liter, plus
  • A refueling service fee of approximately $17.81

Refueling charges are higher than local fuel station prices.

14. Vehicle Monitoring

Rental vehicles are equipped with anti-theft systems, rental radios, and GPS tracking devices. By renting the vehicle, you acknowledge and consent to the use of these systems.

15. Vehicle Cleaning

Excessive interior dirt, stains, odors, or required sanitization may result in cleaning fees ranging from $12 to $42.

16. Smoking Policy

Smoking and vaping are strictly prohibited in all vehicles. Violations result in cleaning fees and may lead to additional charges.

17. Pet Policy

Pets are allowed only when transported in proper cages or carriers. Failure to comply may result in cleaning fees equivalent to smoking or heavy soiling charges.

18. AdBlue Usage (Diesel Vehicles)

Vehicles are supplied with a reasonable level of AdBlue. Long or high-mileage rentals may require refilling. Failure to maintain AdBlue levels may immobilize the vehicle and is the renter’s responsibility.

AdBlue refueling on return may be charged at approximately $3.56.

19. Emergencies, Breakdowns, and Accidents

  • Emergency services: Dial 112 (Europe-wide)
  • Accidents: Contact police, exchange details, and notify the Provider immediately
  • Breakdowns: Use the roadside assistance number provided in the vehicle documents

Failure to report incidents promptly may affect insurance coverage.

20. Full Protection Insurance

Basic coverage includes mandatory third-party liability and limited damage/theft protection with an excess.
